The job is reconciliation, every week #
Breakfast club, after school club, holiday club and a dozen paid and unpaid extracurricular sessions all share one shape. Parents book, usually for a half term, then reality intervenes.
A parent needs Tuesday this week but not next. Someone wants to swap Thursday for Friday. Two children turn up who were not on the list.
By Friday the office is holding a booking list, a register of who actually attended, a set of changes made by phone and email, a staffing rota that depends on numbers, and a set of charges that depend on attendance. Those five things have to agree, and the only mechanism making them agree is a person checking them against each other.

Booked is not the same as attended
Invoicing from the booking list overcharges. Invoicing from the register undercharges when a parent booked, did not come and is still liable. Most schools end up doing both and resolving the differences by hand.

Staffing for tomorrow depends on how many children are actually coming tomorrow, and late changes arrive by whatever route the parent finds easiest.

The register is a safeguarding record, not a convenience
A club register is the school's evidence of who was in its care and when. That is a different standard from a booking spreadsheet, and the two are frequently the same document.
The rules around it have moved recently #
Schools that set this up two years ago are working to an older picture. The DfE published School-age childcare: guidance for schools on 15 April 2026 and updated it on 26 May 2026, specifically to clarify when a school must register its provision with Ofsted and to confirm that exempt school-led provision still counts for Tax-Free Childcare and the Universal Credit childcare element.
It also covers setting up free breakfast clubs and holiday activities provision.
Separately, Keeping children safe in out-of-school settings, published on 21 October 2020 and updated on 9 February 2026, applies to before and after school clubs and holiday clubs, covering health and safety, safeguarding, vetting and governance.
Which parts run on rules #
The Workload Reduction Taskforce's January 2024 list of 23 administrative tasks that should not require a teacher includes, at item 5, administration or data analysis relating to wraparound care. In practice the clerical half of this is large and very well defined.

The exceptions, and there are always exceptions
- Whether to charge a family who cancelled late for a reason the office knows about
- Whether a child who was not booked in can stay
- Whether a pattern of late collections is a logistics problem or something else
Judgement calls about individual families. A school that automates them has automated the wrong half.
The data question #
Club registers, dietary requirements and medical information are personal data about children, and the school is the controller for every part of it. A booking platform is a processor acting on the school's instructions. That has to be settled before a single booking moves anywhere new.
